Introduction:

This manual will show you the steps you need to take in order to review and update your property details and make your payment online.

The online payment entitles you to:

  • Approval to Fáilte Ireland Standards
  • Listing on the Discover Ireland websites

If you have any questions, please read the Frequently Asked Questions (FAQs) on the login page of the tool or on the top of each page. We also have a Help service by phone and email to help you with any difficulties you may have while using the tool.

Fáilte Ireland has contracted its listing, approval, assessment and classification functions for listed accommodation and non-accommodation products to a third party contractor- Tourism Standards Assessments Ltd (T.S.A.).

1. Login Page

The Login page contains two main sections: Login and Resources.

Within the Login Section, there are two key areas:

  1. Existing Users (including requesting a password reminder).
  2. New Users.

Existing Users

If you are a previously approved Operator, you are considered an Existing User as you should already have login details and therefore need to do the following:

  1. Go to the 'Existing Users' section.
  2. Enter your registered email address.*
  3. Enter your password.*
  4. Click 'Sign In'.
  5. You are now logged into the system.

* Note:both your registered email address and password are those that you used to access the Online Listing Tool previously. Reminders of these were sent to you recently.

If this is your first time using the Online Listing Tool, you will have received your password by email when your account was set up.

If you cannot remember your password, you can use the tool to send you the details.

  1. Click on 'Forgotten Your Password'.
  2. Enter your registered email address.
  3. Click on 'Submit'
  4. An email reminder of your password will be sent to your registered email address.

New Users

The Online Listing Tool enables new users to create an account by registering your interest. New Users can use the online tool for adding new properties for approval or people who are not yet in the process can register their interest.

  • New Operators wishing to enter any of the relevant approval schemes should click "Register your interest".
  • Operators who wish to have further properties approved should click "Register your interest".

The Approval Process

  • To join and benefit from Fáilte Ireland's approval scheme, firstly you need to register your interest and pay the listing fee.
  • A representative will be in contact with you within 3 working days of receiving your details in order to proceed with your application.

New Users

I already have an account for the Online Listing Tool.

  • If you already have properties approved you will therefore have an account for the Online Listing Tool. To add a new property to this account, select "Yes" and detail what new approval category you are applying for.
  • A representative will be in touch with you once you submit this form.
  • Once you make your payment, an assessment visit will be organised for the property detailed. If you are successful, the property listed will be approved.
  • For further detail on the new approvals process, please see the New User Guide, available in the resources section of the website.

This is my first time using the Online Listing Tool.

  • If this is your first time using the Online Listing Tool, you can apply for approval to Fáilte Ireland standards.
  • You will need to supply details such as your name and your email address - please ensure that your email address is correct as this is what we use to contact you.
  • A representative will be in touch with you once you submit this form.

  • Many of the answers to your questions about the renewal process will be in the Frequently Asked Questions ('FAQs') section which is available in the 'Reference Documents' section. This should be the first place to look if you have any questions. It will also be available to you once you log in, by clicking on the 'FAQs' link at the top of the screen.

2. Home Page

On logging in, the next screen you access is the home page which displays both your account and property details. It also provides Help options, a facility to change your password or edit details, and an overview of any properties you have selected to renew.

Help Options

The following Options' are available to you on the home page in the top right hand corner below the option for "Home" and "Logout":

  1. Online version of this User Manual (hyperlinked for easy use)
  2. Online 'Frequently Asked Questions' (FAQs) section covering various topics including Renewing, Editing your Details, Assessments or Marketing (hyperlinked for easy use)
  3. Online 'Glossary' of frequently used terms in the Online Listing Process
  4. You can also email or telephone us with any technical questions. Details can be found by clicking on the 'Help' link.

How to change Personal Contact (Account) Details?

Note: It is important that the address that appears in this section is your home address as this is where any correspondence from Fáilte Ireland will be sent.

On the left hand side of your screen, your personal contact details are displayed. They are described as "Your Account Details" and include:

  • Your contact home telephone number
  • Your mobile number
  • Your home postal address.

Please ensure your details are accurate. We use your personal contact details to make contact with you about renewing or approving your property, or for any other official communication from or on behalf of Fáilte Ireland. We do not release your personal contact details to any third parties.

To request changes to these details:

  1. Click on 'Change Account Details'.
  2. Enter the details of the changes you require in the text box provided.
  3. These will then be emailed to T.S.A. who will update your account details for you. You will be copied on this email so you have a record of the changes you requested.
  4. Should you have any query about the changes, please contact T.S.A. directly - the details will be provided in the automated email you receive.

How to change your password?

You may want to change your password to something that you will remember easily. It should be a combination of letters, numbers and symbols in order to make it more secure.

  1. Click on 'Change Your Password'
  2. First enter your old password.
  3. Enter your new password.
  4. Confirm your new password.
  5. Click on 'Submit'.
  6. You will see a message on screen confirming that your password has been successfully changed.*

* Note: Remember, you can request a reminder of your password at any stage by clicking 'Forgotten Your Password' on the Login page. However, we recommend that you pick a password that you will remember.

How to view property and listing details

Viewing Properity

Note: The duration and cost varies by product. This is an example.

The main box on the home page (green) contains the details of your listings. There are a number of things to note:

  1. The first few sentences of the listing for each property is displayed (for example, see Property 1 above)
    Note:Renewal for self-catering Operators is on a site basis; therefore the units are grouped by site.
  2. To view your listing as it appears on the Discover Ireland website, click on 'View your listing on the Discover Ireland website'. A new screen will open showing your listing as it appears on discoverireland.ie
  3. The text you see for each property is that which is in the database, and appears automatically on the Discover Ireland website. If you would like to edit the details of a specific property, click the 'Edit Property Details' button (more detail is available in the relevant section of this manual)
  4. To make changes to the property (such as add or remove a unit, or request a Star Rating or Category review), click on 'Wish to make changes to this property?'. Further details are available in the relevant section of this manual.
  5. To renew, either click on the 'Renew for 20XX for €XXX (incl. VAT)' (which contains the year you are renewing for) button for an individual site or on the 'Renew All' button (please see the section within this manual for further details).

How to edit the details of a property or unit

If you wish to make changes to any unit or property details click on the 'Edit Property Details' button which appears beside the relevant unit.

Checklist:

  • Ensure that all of your properties appear.
  • Read the following disclaimer carefully.
  • Each property must have a separate listing, which specifically relates to the unit displayed. It cannot cover multiple properties.

  • As a condition of participation in the online listing process, each operator must accept the disclaimer.

Edit Property Details Request Form

Edit Your Listings Details

  • The name and address details currently on record for the property automatically appear in the form and are greyed out. Should you wish to change them, please request this using the text box at the bottom of the form. Please note that changes to the address of the property will need to be verified before the database is changed.
  • To change any other information, please fill in the details in the form. For 'Descriptions' and 'Directions' please provide the complete text as you would like it to appear on the Discover Ireland website. This text will market your properties, so it is important that it provides suitable information to your prospective customers.
  • If you would like to update images or attributes, please tick the relevant box on the form. A member of the content edit team will contact you to verify changes within 3 working days of receiving your change request.
  • The 'Additional Details' section will allow you to request changes to any other information displayed for the property on the Discover Ireland website e.g. Golf Course Designer, Spa Description, Pub Opening Time, etc.
  • When you have entered the new text, please read and accept the disclaimer accepting responsibility for the validity of the information. Your change requests will then be sent to T.S.A. for review and action. This will be confirmed with a message on screen. You will also receive a copy of the email with the details.
  • If you have reason to contact T.S.A. via the Online Listing Tool, please ensure that you include your name, telephone number, email address, and the name and address of your property.
  • Remember to check your spelling!

Please note that changes will be made subject to the approval of Fáilte Ireland.

Tips to make the most out of your Discover Ireland Description

  • Tourism is an Experience Industry, so deliver experiences!
  • Content is what attracts customers and retains their attention. It is the one and only means, which will bring customers to your website and turn leads into sales
  • Say something about the location as well as the property in the very first paragraph. People tend to choose location first, accommodation second.
  • Write a catchy headline. 'Holiday cottage with off-street parking with stunning views'
  • Keep paragraphs short, if possible with one idea per paragraph - it makes it much easier on the eye when you are reading from a screen.
  • Remember, when it comes to writing: less is more.
  • People love to read lists. Like this one. Easier to read and easier to understand.
  • Write as if to one person, and tell them how they will benefit. Instead of 'The pool is heated year-round' try: 'You'll love the pool -we keep it at 76 degrees all year long'. 'You' and 'your ' are important words.
  • Think of words that uniquely describe your property - avoid using words like 'best' or 'premier'. Focus on catchy words
  • Remember: The Discover Ireland website(s) are your online platforms to get traffic to your site and ultimately, to the point of booking.
  • Include a reference to booking in your content.

The Importance of Images

  • Think of your listing on the Discover Ireland as your shop window for customers to take a glance at what you have to offer. Pictures are one of your most important assets.
  • It is essential that you own the copyright to the images.
  • Your images should be up to date and you should have the legal right to use them.
  • Take 6 images and include: an outdoor shot, include rooms and a view shot. Think blue skies!
  • We recommend the following formats:
    • If your image is a 2 or 3 colour line drawing, then GIF is the best format
    • If it's an image +with 100,000 different coloured pixels and lots of busy action, use JPG.

How to make changes to property details?

If you wish to make changes to your properties, click on 'Wish to make changes to this site?' on the home page.

Edit Your Property Details

The following menu will be displayed:

  • Remove a Site or Unit
    Use this option if you wish to remove a unit or property from the renewal process. Units removed from a site will not be listed for the current year onwards. Re-listing will require re-approval, an inspection and incur a 'New Listing' fee.
  • Add a new Site or Unit:
    Follow these instructions if you have a new unit which you would like to have approved to Fáilte Ireland standards.
  • Request a Change to a Star Rating:
    Use this option if you have made modifications to your property and would like to find out if your property now qualifies for a different star rating, or if you are unhappy with your current star rating.

Note: Renewing your star rating will require an inspection and may incur a cost. This will be required if you have made improvements to a property or unit or are unhappy with your current rating.

Clicking on any of the options listed will reveal drop down text that explains what you need to do in each case to carry out the desired change.

If you would like to edit the text displayed for a property, return to the home page and click on the 'Edit Your Unit' button for the relevant unit. (For further details see 'How to edit the details of a unit?' above)

Note: Please include your name, telephone number, email address, and the name and address of your property when emailing T.S.A.

If you would like to update images or attributes, please tick the relevant box on the form. A member of the team will contact you to verify changes within 3 working days of receiving your change request.

For Self Catering Operators:If you want to make changes relating to all units on a site, they must be made on an individual unit basis.

3. Renewing your property

There are three simple steps to renewing your properties for the following calendar year i.e. from 1st January to 31st December. These are Renewal - Payment - Confirmation.

1. Renewal

This shows a listing of the property or properties you have selected to renew together with the appropriate fee.

Note: Self-Catering renewals are processed on a site basis, and details of each unit on a particular site are listed.

2. Payment

Payment can be made using Visa Card, Master Card, American Express or Laser. We use secure payment facilities provided by Realex Payments in order to process all credit card transactions. Realex Payments are certified and approved by several leading financial institutions. Their systems and security controls are based on current industry standards. There are several layers of technology in place to ensure the confidentiality, authentication and integrity of information.

Depending on the speed of your internet connection, online payment may take a couple of minutes.

3. Confirmation

You will then receive on-screen official confirmation of the renewal of your property / properties listing the details of the units included. You will also receive an email containing the same details and with a receipt attached.

Note: Renewals are done in a sector basis. It is not possible to renew multiple product types at the same time.

How do I renew a single property?

If you have a number of sites or properties, but only want to renew one at a given time, follow the steps below.

  1. Click on the 'Renew for 20XX' button at the bottom of the site you wish to renew.
  2. Click on the 'Disclaimer' link and read the Disclaimer.
  3. Tick 'I accept the Disclaimer.'
  4. Click on 'Pay Now'.
  5. You will automatically be brought to the payments page where you must follow the steps for credit card payment outlined in the following pages.

How do I renew additional sites or properties?

To renew further sites or properties, complete the following steps:

  1. On the Renewal page, click on the 'Back to Your Property Details' button. This will bring you back to the home page.
  2. Click on the 'Renew for 20XX' button at the bottom of the additional site you wish to renew.
  3. You will be brought back to the Renewals page, where the details of this site will now be added to your list.
  4. Repeat steps 2 and 3 until all the properties you wish to renew are listed on the 'Your Renewals' page
  5. Click on the 'Disclaimer' link and read the Disclaimer
  6. Tick 'I accept the Disclaimer'
  7. Click on 'Pay Now'.
  8. You will automatically be brought to the payments page where you must follow the steps for credit card payment outlined in the following pages.

Renew more sites from 'Your Renewals'

How do I renew all my sites or properties at the same time?

The following simple steps will allow you to renew more than one site or property at the same time.

  1. If you have more than one site and wish to renew all sites at the same time, click on 'Renew All Sites for 20XX' on the top right hand side of the page.
  2. This will bring you to the renewal page where you all of your sites and properties will be listed together with the appropriate renewal fee.
  3. Click on the Disclaimer link and read the Disclaimer.
  4. Tick 'I accept the Disclaimer.'
  5. Click on 'Pay Now.'
  6. You are then brought to the payment page where you can complete your Online Payment as described in the following pages.

Please note that any properties not renewed for the following year by the communicated deadline for that product will be automatically delisted at the end of the calendar year. This means that you will no longer be approved to Fáilte Ireland standards.

To renew all sites at once, click 'Renew All'. To renew one site only, click 'Renew' for that site.

How do I remove a site or property from the payment process?

If you wish to remove a property from the payment process, click on the 'remove from shopping cart' icon on the right hand side of the screen.

To remove a property from the payment process, click 'Remove from Cart image'.

Helpful Hints

  • If you proceed to the payment screen and do not enter your card details, you can click 'Back to Your Renewals' to return to the home page without making payment screen.
  • To return to the payment screen from the home page at any stage once you have selected a property for renewal but not yet paid, click on 'View Renewals' on the left hand side of the screen in the 'Your Renewals' box.

Entering payment details

The tool has been set up to accept Visa, MasterCard, American Express and Laser cards only. Although you are entering the card number, expiry date, and other details into the tool, the information is not being stored by Fáilte Ireland.

  1. Enter in your card type: Visa/MasterCard/Laser/American Express
  2. Enter in your card number without any spaces or dashes.
  3. Enter the Security Code (click on 'about security code' for information on where to find this code). This is not required for Laser.
  4. Enter the expiry date.
  5. Enter the name of the Cardholder exactly as it appears on the card i.e. if the name on the card is Mrs. B. Curran, the name that should appear in the cardholder's name box is Mrs. B. Curran
  6. Click on 'Pay Now'.

Confirmation

Once you have paid, the confirmation details of your payment will appear on screen. They will include your payment amount, date and tracking ID. You will also automatically receive an email with your payment confirmation details and a printable receipt which lists all units covered by the payment. Please save this email and/or file for your records and print a copy of the document if required.

The receipt is also valid as

  • A VAT receipt
  • Written confirmation of your approval and listing by Fáilte Ireland for the following period.

Note: It will be emailed to your registered email address only ie. The one used to log in.

This confirmation will satisfy the requirements of third parties of confirmation of your approval to Fáilte Ireland standards. No other documents will be provided.

Should this payment not appear on your credit card within seven days, please email info@tsaireland.ie with your payment tracking ID.

How safe are my credit or laser card details?

Your card details are only used to make the payment while you are on the site. They are not stored in the system and will not be available once you have completed the payment transaction.

We use secure payment facilities provided by Realex Payments in order to process all credit card transactions. Realex Payments are certified and approved by several leading financial institutions. Their systems and security controls are based on current industry standards. There are several layers of technology in place to ensure the confidentiality, authentication and integrity of information.

  • All information when in transit via the internet is encrypted (128bit SSL) to ensure confidentiality of sensitive data.
  • Realex Payments are registered with the data protection commissioner as a "Data Processor". Cardholder information is encrypted and not displayed in their reporting system called 'realcontrol'.

Realex Payments have been accredited with the AIS (Account Information Security) certification by VISA and is one of the few companies in Europe to achieve this. Additionally Realex Payments are fully compliant with the PCI DSS (Payment Card Industry Data Security Standard) at all times. This shows their commitment to the above industry standard in every aspect of payment processing.

How to get a copy of your Receipt at a later date

If you would like to get a copy of your receipt at a later date please follow the steps below:

  1. Go to the Login Page at www.onlinelistingtool.failteireland.ie
  2. Log in using your registered email address and password
  3. You will see that options to 'Print Receipt' or 'Email Receipt' have been added to the bottom of each site.
  4. Click on the relevant link
    • 'Email Receipt': the email will automatically be resent to your registered address. You will see a confirmation message that this has happened.
    • 'Print Receipt': a file will open in a new screen showing you the receipt.

Click 'Print Receipt' to get a print copy of your receipt or click 'Email Receipt' to receive an email copy of your receipt. The receipt would be for any site.

4. Logging Out

When you have finished your session in the Online Listing Tool, please click on 'Logout' in the top right hand corner of the screen.

If you have not renewed all your sites a reminder will appear before you log out, listing the properties and sites still to be renewed.

If you would like to log out without renewing the properties on this occasion, click 'OK'

Please note that any properties not renewed for the following year by the communicated deadline for that product will be automatically delisted at the end of the calendar year.

Note: Where an establishment, for whatever reason, ceases to participate in the Fáilte Ireland Approval or Classification Scheme, all references to Fáilte Ireland approval on signs, print material or online must be removed.
